Summary of Key Terms
Revenue Split: Partners receive 70% of net sales revenue. St David’s Adventures retains 30% for platform services, marketing tools, payment processing coordination, customer support and compliance management.
Photo Rights: You retain full copyright and ownership of all photos. By uploading, you grant St David’s Adventures and Pic-Time a non-exclusive licence to host, display and facilitate the sale of the images.
Consent & Compliance (Critical): Partners are solely responsible for obtaining all necessary consents, model releases and parental/guardian consent for any identifiable children (under 18). Photos must comply with UK GDPR, the Data Protection Act 2018, the Online Safety Act 2023 and all child safeguarding requirements. We provide templates and guidance but ultimate responsibility rests with you.
Payments: Payouts are made monthly (within 14 days of month-end) for balances over £50 via bank transfer. Detailed sales reports are provided.
Data Protection: We act as joint controllers or data processors as defined in our Data Processing Agreement. All data is handled in accordance with UK GDPR.
Content Standards: No inappropriate, illegal or harmful content. We reserve the right to remove any gallery or image that breaches these standards or the law.
Termination: Either party may terminate this agreement with 30 days’ written notice. Upon termination, existing galleries will remain accessible for 60 days to allow completion of pending orders. Outstanding revenue will be paid in the next scheduled payout.

1. Definitions
“Partner” means the tour operator, boat company or adventure business that has been accepted into the Programme. “Platform” means the Pic-Time powered gallery and sales system operated by St David’s Adventures. “Content” means all photographs, videos and related materials uploaded by the Partner.
2. Revenue Share & Payment
Partners receive 70% of Net Sales Revenue. St David’s Adventures retains 30%. Net Sales Revenue means gross sales less any refunds, chargebacks and third-party payment processing fees. Payouts are made monthly by bank transfer within 14 days of month end, subject to a minimum threshold of £50.
3. Intellectual Property & Licensing
The Partner retains full copyright ownership of all Content. By participating, the Partner grants St David’s Adventures and Pic-Time a worldwide, non-exclusive, royalty-free licence to host, display, market and sell the Content through the Platform for the duration of the partnership.
4. Partner Obligations & Compliance (Important)
The Partner is solely responsible for:
• Obtaining all necessary model releases and consents from individuals appearing in photographs, including explicit parental or guardian consent for any child under the age of 18.
• Ensuring all Content complies with applicable laws including the UK GDPR, Data Protection Act 2018, Online Safety Act 2023 and child protection legislation.
• Not uploading any Content that is illegal, harmful, defamatory or breaches third-party rights.
St David’s Adventures provides guidance and templates but accepts no liability for the Partner’s failure to obtain proper consent or for unlawful Content.
5. Data Protection
Both parties agree to comply with their respective obligations under UK GDPR. St David’s Adventures acts as a data controller in respect of customer (guest) data and as a processor in respect of Partner-uploaded Content where applicable.
6. Termination
Either party may terminate this agreement with 30 days’ written notice. Upon termination, existing galleries will remain accessible for 60 days to allow completion of pending orders. Outstanding revenue will be paid in the next scheduled payout.
7. Limitation of Liability
St David’s Adventures’ total liability under this agreement shall not exceed the total fees retained by it in the 12 months preceding any claim. We are not liable for indirect or consequential losses.
8. Governing Law
This agreement is governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
Frequently Asked Questions
Do I need to be a photographer to join?
No. We work with boat operators, kayak companies, wildlife tour providers, activity centres and other adventure businesses. You provide the photos from your trips — we handle the professional presentation and sales.
How do guests receive the gallery link?
We provide you with a unique link that you can add to your thank you and welcome emails. This link directs customers straight to the latest trip or event photos, where they can view and purchase them directly from our site.
What about photos of children?
You must obtain explicit parental/guardian consent before uploading any identifiable images of children. We provide consent templates and guidance. This is a strict requirement under UK law.
When and how do I get paid?
Payouts are made monthly via bank transfer. You’ll receive a detailed statement showing all sales, your 70% share, and any applicable fees. Minimum payout threshold is £50.
